Business SMS and MMS for California small businesses

The short version

VanceTel Business Messaging is two-way SMS and MMS on a dedicated business number, delivered via Bandwidth with automatic TCPA STOP/START/HELP keyword handling. Every inbound message lands in a Shared inbox the team assigns, tags, and replies from with templates. Works on every device: desk, mobile, desktop, web.

What you get

What ships in the box

  • Two-way SMS on a dedicated business number

The same Bandwidth-routed business number that rings the desk phone receives SMS. No personal cell exposure, no shared employee number that breaks when staff leave. Inbound and outbound are full duplex with real-time WebSocket delivery and per-message DLR.

  • MMS multimedia (photos, video, documents)

Send and receive images, video, and documents inside text threads via the Bandwidth MMS API. Files upload to S3 via presigned URLs before send; inbound media is downloaded, archived, and served back to clients with secure download URLs. Multiple attachments per message supported.

  • Shared inbox for the whole team

Every conversation belongs to the business, not an individual. Assign a conversation to a team member, tag with color-coded labels, set status (open / closed / archived), and watch the queue from a desk phone, the mobile app, or the web. New hires inherit the full history.

  • Templates with {{variable}} placeholders

Reusable templates with named variables: pick "Appointment reminder", fill in {{customer}} and {{date}}, and send in seconds. Usage counts show which templates the team relies on most. Templates are tenant-scoped so a multi-location organization can share the library across offices.

  • TCPA STOP / START / HELP handled automatically

Inbound STOP removes the recipient from outbound sends; START re-subscribes; HELP returns the configured help text. Outbound to opted-out numbers blocks at the API layer with a clear error code so a misconfigured automation cannot violate consent. Every event timestamps for audit.

  • Group threads with add / remove participants

Multi-recipient group SMS threads with participants you can add or remove mid-thread, rename for clarity, and assign to a single team member. Inbound replies route back to the same group thread automatically via phone-number hash lookup so context never fragments.

The details

A dedicated business number, not a personal cell

VanceTel Business Messaging gives the business a dedicated SMS-enabled phone number; the same number that rings the desk phone receives texts. Inbound messages land in a Shared inbox the whole team can read, assign, and reply from. Customer texts never get stuck on a former employee's personal phone.

Customer text messages routed to a personal cell number disappear when the employee leaves. VanceTel assigns a dedicated business number (the same number that rings the desk phone receives texts) and routes every inbound SMS and MMS to a Shared inbox the whole team can read, assign, tag, and reply from. The platform runs on Bandwidth for the SMS and MMS transport layer, which is the carrier most US business-messaging vendors rely on under the hood. Works on every device: iOS, Android, Mac, Windows, web, and a desk phone if the model supports it.

TCPA opt-out compliance, built in

Inbound STOP, START, and HELP keyword handling is automatic: STOP removes the recipient from outbound sends and writes them to an opt-out registry; START re-subscribes; HELP returns the configured help reply. Outbound sends to opted-out numbers are blocked at the API layer with a clear error so a marketing tool integration cannot accidentally violate consent. The platform records every inbound and outbound message with timestamps so a compliance audit pulls cleanly. See the [VoIP platform overview](/services/business-voip) for how messaging fits the rest of the stack.

Message templates use {{variable}} placeholders for customer name, appointment date, ticket number, and other dynamic fields, so the front desk picks a template, fills in two values, and sends a professional, consistent reply in seconds. Group SMS threads support multiple recipients with add/remove participants mid-thread. In-message voice recordings convert AMR or 3GP to MP3 server-side so the customer receives a playable audio attachment on any device. Inbound URLs render with Open Graph link previews so the team can see what a customer shared at a glance.

Real-time delivery, real-time presence

Inbound messages push to every connected device over WebSocket in real time, so the iOS, Android, Mac, Windows, and web apps all light up at once. Per-message delivery receipts (DLR) from Bandwidth show whether the carrier accepted, delivered, or rejected each outbound send, and a per-conversation assignment field tracks which team member owns the next reply.

Building on the API?

Business Messaging above is the shared-inbox SMS and MMS experience your front desk uses day to day. If you want to send and receive SMS/MMS programmatically (from your own app, a CRM workflow, or an automation), that lives on the [VanceTel developer platform](/developers/sms-api): a documented SMS/MMS API with webhooks for inbound messages and delivery receipts.

FAQ

Frequently asked questions

Yes. We handle 10DLC brand and campaign registration as part of the onboarding so the business number is properly registered for application-to-person SMS on the major US carriers. The cost is a one-time vetting fee plus a small monthly campaign fee, and we surface the carrier fees on the [pricing page](/pricing) so there are no surprises after launch.

The opt-out registry is tenant-wide. Once a recipient texts STOP to any campaign on your business number, the entire tenant is blocked from sending to that recipient via the API, regardless of which user or template initiates the next send. START re-subscribes. Every status change is timestamped and logged for compliance audits; pull the report directly from the admin console.

MMS supports images, video, and documents up to the carrier-imposed limit of roughly 1 MB per attachment, with multiple attachments per message. Common formats (JPEG, PNG, GIF, MP4, PDF) pass through to most modern handsets. Voice recordings auto-convert from AMR or 3GP to MP3 server-side so playback works on every receiving device.

Most modern Yealink handsets support basic SMS reply through the platform, but the practical experience is much better on the iOS app, the Android app, the Mac softphone, the Windows softphone, or the browser web app, since those surfaces show full conversation history, templates, attachments, and assignment status. The desk phone is best for voice; the apps are best for messaging.

The platform supports group threads of two to ten recipients to stay within carrier MMS group limits and to keep deliverability stable. For broadcasts beyond ten recipients we recommend a templated bulk-send (each recipient gets a separate one-to-one thread) so replies remain individually addressable and TCPA opt-outs apply cleanly per recipient rather than to a shared group.

The platform ships a built-in contact CRM that captures every inbound and outbound message against the contact record. For external CRMs (Salesforce, HubSpot, Pipedrive) and marketing tools (Mailchimp, Klaviyo) the messaging API surfaces webhook events for inbound messages, delivery receipts, and opt-outs. Ask through the [contact form](/contact) for the integration spec.

Yes. Business Messaging is the human-facing shared inbox for your front desk. For programmatic sending, receiving, and status webhooks from your own app or workflow, use the [VanceTel SMS/MMS API](/developers/sms-api), the standalone developer platform built for teams that want to build on top of texting.
